Do the math for
Per hour of RBT therapy. Starts from public Medicaid and TRICARE rates, so put in what you actually collect.
Medicaid pays $58 to $66 an hour in Texas, Indiana, and Michigan. TRICARE pays $69 to $81 in the states we checked.
Hours you schedule and staff. Focused ABA often runs 10 to 25, comprehensive 30 to 40.
In one study, about 3 in 4 children who started ABA were still in services a year later.
Adjust assumptions
After cancellations and sick days. If you put in authorized hours, try 50%.
Where the starting assumptions come from
- $60 an hour: below most current rates we found for 97153. Texas Medicaid pays $58, Indiana $64, Michigan at least $66, Minnesota $65 for RBT-level staff, and TRICARE $69 to $81 in the eight states we checked (Wisconsin, Minnesota, Illinois, Indiana, Michigan, New Jersey, Ohio, and Texas).
- 15 hours a week: inside the BACB's 10 to 25 hours for focused ABA, and below the 30 to 40 for comprehensive ABA.
- 70% of hours happen: our assumption. Studies compare delivered hours to authorized hours, and children get far fewer. In one large study, only 15% received 80% or more of their recommended hours (Croen, 2017).
- 12 months: of children who started ABA in one study, 76% were still in services at 12 months and 53% at 24 months (Choi, 2022), so the average stay is longer than a year.
- The slider starts at our estimate: family ad spend ÷ cost per lead × the share of leads who become clients, rounded down. Recruiting campaigns count as cost, not toward new clients. Slide it to see other numbers. It's a what-if, not a promise.
- 25% of leads become clients: our assumption. Healthcare marketing leads book an appointment 39.9% to 59% of the time (Liine), about 20% of booked first visits at a pediatric autism clinic were missed or cancelled (Kalb, 2012), and ad platforms count spam and job seekers as leads too.
- Cost per lead: an industry estimate of $66 for healthcare, and $141 for mental health, the closest category to ABA. These are Google Ads medians from LocaliQ's own client campaigns (Oct 2024 to Sep 2025). We don't have a Meta benchmark for clinics yet, so your Meta costs may differ. A lead there is any call or form.
- Ad spend: your plan's, or what we'd recommend if you haven't built one. That's $1,200 a month per campaign on full Paid Ads, $900 on Essentials, and $750 for sensory gyms. It's paid directly to the ad platform.

What this leaves out
- Staff pay, rent, billing, admin, and taxes. This is what's billed for new clients, not profit.
- When the money comes in. This counts a whole stay against one month of your plan and ad spend.
- One-time setup fees. The math counts one month of the plan and ad spend.
- Whether ads will bring in this many. The slider is a what-if. Your market, budget, and how fast your team follows up all change it.
- When new clients really start. Ads can bring leads within weeks, but therapy often waits on an assessment and insurance approval, and SEO+ builds over months.
- Whether you have room. A new client only counts if you have a clinician and a time slot for them.
- Clients referred by clients you already serve.

FAQ
Good questions. Straight answers.
The things clinic owners ask before they sign.
Are these the real prices?
Yes. Every service is sold on its own at the rate shown. Every clinic that buys from this page gets the same prices. Your clinic type changes what we recommend, never what anything costs. Larger sites, bigger CRM builds, more social video, and other work beyond the listed scope are quoted in writing before any work starts.
How does the Paid Ads + SEO+ package work?
When we run your ads and your search together, they share strategy, tracking, and reports, so they cost less. Paid Ads + SEO+ package: run both and save $780 a month, so they're $3,530/mo instead of $4,310 at one ad platform. Two ad platforms keep the same $780 off. If you drop one later, the other goes back to its single price. Site Care ($150/mo) is free while your plan has both full Paid Ads and SEO+. If you drop either one, it goes back to $150/mo. Paid Ads Essentials, Local Presence, the Intake Assistant, the CRM, Social Media, and setup fees stay at their listed prices.
Why is the website build included?
When we run your Paid Ads or SEO+, your website is part of making that marketing work, and we expect to work together for a while. So the build comes with the plan, with a 2-month minimum. Site Care is $150/mo, or free when you run both Paid Ads and SEO+. On its own, our standard build is $2,500. An included build is never billed back, even if you drop the marketing after the minimum.
What's the commitment?
Plans with an included website build have a 2-month minimum on the whole plan. You can give notice any time, even in month 1. The earliest a plan with an included build can end is after 2 billed months. Everything else is month to month from day one. Either way, cancel with 30 days' notice by email.
When will I see results?
Ads can bring leads within weeks. A lead isn't a client, though. What slows clinics down is usually what happens next: how fast someone calls back, how long your waitlist is, and how long insurance verification takes. Two clinics on the same budget can get very different results because of those three things, so we'll ask about them on the call. SEO+ takes months to build. We won't promise a date. Your first report arrives by day 30 after launch, then one every 30 days: what came in, what it cost, and what we're changing.
Where do the ROI calculator's numbers come from?
It multiplies what you collect per session by how often a client comes, the share of sessions that happen, and how long a client keeps coming. That's what one client is billed over their stay. Multiply by the new clients on the slider and you have the big number. Divide that by a month of your plan and ad spend, and you have what's billed for every $1 you spend with us. It stops there: staff pay, rent, and other overhead are yours to account for, so this isn't profit. The slider starts at our estimate from your ad spend, an industry cost per lead, and a share of leads becoming clients. Move it to see other numbers. It's a what-if, not a promise. ABA starts from 2026 Medicaid and TRICARE rates, the BACB, and published studies. Speech, OT, and PT start at the middle of the lowest and highest figures we found, from Medicaid fee schedules to clinics' posted cash prices, plus labeled placeholders, so put in your own numbers. Sensory gyms and other clinics start blank. Where we have one, a box shows a range from Medicaid fee schedules, clinics' posted prices, ASHA, or children's hospitals, and it says so where we don't. Each source is linked under the calculator and was checked October 29 to 30, 2026.
What if I drop the marketing later?
After the 2-month minimum you can drop any service, and we never bill you for the included build.
Are there setup fees?
Not on Paid Ads, SEO+, Social Media, or the Intake Assistant. The only setup fees are a website build bought without Paid Ads or SEO+, and a custom CRM build (from $2,880). The lead portal that comes with Paid Ads has no setup fee.
What's the difference between the lead portal and a custom CRM?
If you're running Paid Ads, start with the lead portal. It's included at no extra cost: every lead in one list, a simple pipeline, your ad results, email, and team logins. Build a custom CRM when you outgrow it, or when you're fixing follow-up before you run ads. It's built around your own intake steps (insurance checks, intake forms, waitlists), routing across locations, and the software you already use, and we move your old records over. That build starts at $2,880 plus $100/mo hosting, quoted in writing before you sign.
Which ad platforms do you run?
Meta, Google, and TikTok. We start ABA and most other clinics on Meta. An ad can reach families in your area before they've picked a provider, and both ad results on this page came from Meta. PT clinics start on Google and local search, because pediatric PT runs on pediatrician referrals and parents look you up before they call. Any clinic can start on Google Search if families nearby are already searching for what you offer and you have room to take them. One platform is $2,430 a month: Meta, Google, or TikTok. A second platform adds $1,215 a month, half price, because strategy, landing pages, tracking, and reports are shared. Want all three? We scope that on the call. Paid Ads Essentials is $1,500 a month, Meta only.
Can you target private-pay families?
Partly. Meta doesn't let us target by insurance, and it offers little by income. So we reach private-pay families through the message ("Start this week. No insurance approval needed."), the area we run in, and the landing page. We can't promise every lead will pay directly, and that message only runs if it's true for your clinic.
Can you run ads for hiring too?
Yes. Paid Ads runs one goal: bringing in families, or recruiting staff. Running both is $640 a month more, or $440 with the Paid Ads + SEO+ package, since the ad account, tracking, and reports are shared. Essentials works the same way: its one campaign is for families or for hiring, and running both is $640 a month more. Each campaign has its own ad budget, and you can turn recruiting off when your roles are filled.
Is ad spend included?
No. It goes straight to Meta, Google, or TikTok on your card, and we never mark it up. We usually recommend $40-$80 a day per campaign (about $1,200-$2,400 a month), or $750-$900 a month on Essentials. A recruiting campaign gets its own budget, about $1,200-$2,400 a month on full Paid Ads or $750-$900 on Essentials. We'd start at the low end and raise it once your team is keeping up with the leads you have. We set your numbers with you on the call.
How fast do ads go live?
Your ads go live within 7 days of us getting access to your ad accounts, or of your new site launching if your plan includes one, whichever is later. If they don't, you don't pay for your first month of Paid Ads management.
What about more than one location?
Prices shown are for one location. Extra locations need their own pages, listings, and campaigns, so we scope them on the call before you sign.
Can prices change?
We give 60 days' written notice before any price change.
Do I own everything?
Your domain, ad accounts, and data stay in your name. Site code and content are yours once a paid build is paid in full, or once the 2-month minimum is done on an included build. If you leave, we hand everything over within 14 days. The lead portal stops when Paid Ads stops, and the Intake Assistant and CRM hosting stop when their monthly fees stop. We export your records to you first.
What does the Intake Assistant handle?
General questions and callback details, using information your practice approves. It collects contact details, not health histories, and it doesn't give clinical advice or book evaluations.
You run the clinic. We'll run the part of the internet that sends families your way.
One plan, one invoice, and one team to call, instead of five vendors.
